About the Role
Firestorm is seeking an enthusiastic, highly organized, and detail-oriented Executive Assistant to support our Chief Strategy Officer (CSO). This high-trust, high-responsibility role is ideal for someone who anticipates needs before they arise and keeps operations running smoothly behind the scenes—ensuring schedules stay on track, priorities are organized, and high-level engagements run seamlessly. In this role, you’ll act as the CSO’s right hand, managing their calendar, coordinating meetings, and overseeing logistics to ensure smooth day-to-day operations. You’ll be a key point of contact, handling communications, organizing priorities, and maintaining effective coordination between the CSO, executive leadership, internal teams, and external stakeholders. As the CSO’s trusted partner, you’ll provide operational support to help them stay organized, and prepared, allowing them to prioritize their most critical tasks.
This role is about more than administrative tasks—it’s about being a strategic partner, exercising discretion, and maintaining operational excellence to keep everything running efficiently.
What You’ll Do
- Executive Partnership: Serve as a trusted, proactive partner to the CSO—managing a fast-paced calendar, daily priorities, and meeting cadence with a strong sense of calm under pressure.
- Calendar & Meeting Management: Own scheduling and calendar operations across multiple time zones, internal functions, and external partners.
- Communication Support: Review, prioritize, and summarize incoming emails and messages. Draft, review, and send professional written communications on behalf of the CSO, including communications with external stakeholders.
- Meeting Preparation & Documentation: Prepare agendas, briefing materials, PowerPoint presentations, and meeting notes for internal reviews, customer engagements, and strategic sessions. Attend key meetings to ensure all documentation is readily available and action items are tracked.
- Travel Coordination: Plan and manage domestic and international travel—including flights, secure lodging, ground transportation, and detailed itineraries. Handle expense reporting, track executive expenses and reimbursements, logistical planning, and day-to-day operations with accuracy, discretion, and efficiency.
- Confidential Administrative Support: Exercise strong judgment and maintain strict confidentiality with sensitive information.
- Liaison Role: Act as a central communication bridge between the CSO and other executives, team members, vendors, and external stakeholders.
- Project Tracking: Support ongoing projects by tracking action items, deadlines, and deliverables. Coordinate across departments to ensure timely completion, maintaining clear communication and progress updates.
- Onsite Presence: Work 100% onsite at your selected headquarters location to support dynamic in-person needs and real-time coordination.
- Manage day-to-day building operations and serve as the primary point of contact for facilities vendors, ensuring smooth service delivery and cost-effective solutions.
- Lead efforts to identify and secure a new headquarters location, including researching spaces, coordinating site visits, and supporting lease negotiations and budget tracking.
- Logistical Support: Occasionally lift up to 30 lbs. for event setup or operational support tasks.
Qualifications
- Bachelor’s degree
- U.S. Citizenship required
- Minimum of 3+ years of experience as an Executive Assistant or in a similar role (e.g., Chief of Staff), including direct support to senior leadership at the C-suite level.
- Prior experience in a startup, defense, aerospace, or high-growth tech environment
- Excellent organizational, multitasking, and time management skills
- Demonstrated ability to manage shifting priorities with calm and professionalism
- High proficiency in Microsoft Office Suite—especially Outlook, PowerPoint, and Excel
- Experience coordinating executive-level travel & expense management, communications, and logistics
- Strong judgment, discretion, and trustworthiness with confidential information
- Exceptional written and verbal communication skills
Preferred Qualifications
- Prior experience in the defense, aerospace, or tech industry
- Previous military experience or familiarity with the military community; experience supporting senior Department of Defense personnel (i.e., Senior Executive Service (SES))
- Experience working with cross-functional teams, external partners, government agencies, and senior stakeholders
- Strong emotional intelligence and a collaborative, low-ego approach to building relationships across all levels
- A steady, proactive presence in a dynamic, high-pressure environment
- The ability to anticipate needs and solve problems before they surface
- A “no task too small” attitude paired with ownership of high-priority deliverables
- Commitment to the mission—supporting leadership so they can focus on advancing critical objectives
Work Environment
This role is 100% onsite at Florida headquarters, embedded directly with the CSO.
Compensation
US Salary Range: $70,000 - $100,000 USD
The posted salary range reflects an estimate based on a variety of compensation factors, including but not limited to relevant experience, education, certifications, specialized skills, geographic location, and business needs. Actual compensation may vary, and this range is subject to change as our compensation structure or market conditions evolve.
