.Role Overview:
As the Executive Assistant you will provide high-level support to VP+ leaders with complex calendars and responsibilities across the organization. This role requires a highly resourceful, proactive, and solutions-oriented professional who can anticipate needs, navigate ambiguity, and operate with a high degree of autonomy. Reporting to our Senior Executive Assistant, you will be a critical member of the Mission Control Team, ensuring that the leaders you support are maximally effective in our high-growth, fast-paced environment. The ideal candidate brings sound judgment, exceptional communication skills, excellent attention to detail, and a proactive mindset - comfortable owning complex projects and cross-functional coordination from end to end.
Must be located in the Dallas area and able to work from our Dallas office up to 3 days per week.
What You'll Do:
Provide comprehensive calendar management and administrative support for VP+ leaders with complex, fast-moving schedules—proactively flagging conflicts, anticipating priorities, and ensuring each day runs as smoothly as possible.
Serve as a trusted gatekeeper and strategic partner to the executives you support, exercising sound judgment to protect their time and independently prioritizing requests and communications.
Take full ownership of ensuring the leaders you support are always prepared, organized, and set up for success—proactively managing information flow and anticipating what they need before they ask.
Communicate effectively and independently across multiple departments including People Ops, Construction, Growth, Tech and others—facilitating cross-functional conversations and ensuring information is shared accurately and in a timely manner.
Independently plan and coordinate team events including offsites (virtual and in-person), and may lead significant corporate events and larger-scale company gatherings.
Take ownership of moderately complex projects, including meeting preparation, presentations, and ad hoc initiatives—driving them to completion with limited oversight and contributing to team objectives.
Independently arrange travel plans and coordinate logistics with all attendees, ensuring seamless execution.
Monitor and manage communications outside of standard hours to address time-sensitive needs from executives, independently prioritizing responses as appropriate.
Actively identify and evaluate process inefficiencies, independently implementing improvements and ensuring alignment with team and organizational objectives.
Use AI assistants and other technology to advance the role’s capabilities and output.
Assist with office management, conference room booking and other workplace projects as needed.
Assist with other ad-hoc administrative and people operations tasks and projects as assigned.
Who You Are:
4+ years of experience as an executive assistant.
Bachelor’s degree, or equivalent combination of education and experience.
Experience in a startup environment supporting multiple VP+ leaders required.
Experience supporting C-suite level executives strongly preferred.
Must be proficient in Google Workplace, including Google Calendar, Slides and Sheets.
Exceptional communicator with strong interpersonal, written, and verbal skills; able to facilitate cross-functional conversations independently across teams and business units.
Highly organized and self-directed - manages competing priorities, owns processes end-to-end, drives work to completion with limited oversight, and proactively surfaces solutions.
Expert at managing complex, multi-stakeholder executive calendars with sound judgment on prioritization; meticulous attention to detail and data integrity under pressure.
Collaborative and discreet partner who builds trust at all levels and handles sensitive, confidential information with integrity.
Thrives in fast-paced, high-growth environments; adapts readily to ambiguity and continuously identifies and implements process improvements to make workflows faster and more efficient.
