The Executive Assistant Role
We are seeking a highly organized and proactive Executive Assistant to support our Chief Marketing Officer and Chief Operating Officer. This role requires proactive stakeholder communication and ownership of complex projects with multiple workstreams, including events. The ideal candidate will possess exceptional interpersonal skills, a strong sense of initiative, and a passion for creating seamless operations. You will act as a trusted partner to complex and congested calendars and inboxes, coordinating meetings and travel to ensure your executives have the resources, clarity, and time needed to succeed. This role operates in a high-growth startup environment where processes are being built, priorities evolve quickly, and adaptability is essential as the company scales.
Serving as a primary point of contact, you will help executives stay focused on business priorities by managing internal and external requests and driving appropriate next steps. You will be their trusted partner, anticipating the needs of the executive and the organization while demonstrating high professionalism, confidentiality, and empathy.
What You’ll Do
- Own and manage busy C-Suite calendars and schedules, ensuring effective time management and seamless coordination of urgent meetings and engagements.
- Ensure your managers are in the right meetings with the right information and stakeholders, maximizing impact, velocity, and intentional decision-making.
- Anticipate your managers’ needs and take proactive steps to plan and execute tasks with minimal guidance.
- Lead with active listening and discretion, providing thoughtful support across tasks of all sizes
- Build empathetic relationships with ease, maintaining strong situational awareness of team culture and morale while helping C-Suite leaders recognize key milestones and achievements.
- Partner primarily with external stakeholders, including high-profile clients and advisors to interpret requirements, align priorities, and deliver seamless, white-glove executive support.
What We Look For
- Minimum of 5-7 years of experience supporting Chief Marketing Officers and Chief Operating Officers; 10+ years preferred.
- Experience supporting multiple executives simultaneously.
- Expertise in executive operations and business support, including expenses and billing, travel arrangements, and offsite and team event logistics.
- Experience supporting high-profile clients or advisors, with the ability to manage complex stakeholder expectations, detailed engagement requirements, and coordination with their teams.
- Strong judgment, discretion, and professionalism, protecting confidential information and representing stakeholders effectively both internally and externally.
- Experience in startup, high-growth environments preferred.
- Excellent written and verbal communication skills, with strong organization and multitasking abilities.
- Ability to work in person four days per week in our San Francisco office.
Salary Range: $135,000 - $170,000 Annually + Benefits + Equity (if applicable) + Bonus (if applicable)
