The Opportunity

Location: Productboard SF office (333 Bush Street) — fully on-site · Schedule: Part-time, 3 days/week (Monday, Tuesday, Thursday), ~21-24 hours/week · Type: Part-time, non-exempt (hourly) · Reports to: Director, Global HR
Our San Francisco office is the hub for our execs, board and investor guests, candidates, and visiting employees — and it needs a dependable, hands-on person to keep it running. We're hiring a part-time Office Manager to be the friendly face at the front of house and the owner of day-to-day office operations three days a week. You'll keep the space welcoming, well-stocked, and ready for everything from a Forkable lunch to a monthly all-hands, working closely with our People team, IT, Finance, and a handful of in-office partners.
This is a newly scoped, part-time role dedicated specifically to day-to-day office operations and hospitality on our busiest in-office days. Broader HR, workplace strategy, and People Operations program ownership sit with the People team - this role provides the on-site operational support that keeps the office running.

What you'll do

Schedule & Hours

  • Days in office: Monday, Tuesday, and Thursday, on-site every one of those days.
  • Standard hours: 8:30 AM – 4:00 PM
  • All-hands days (about once a month): start at 7:00–7:30 AM to set up breakfast and AV before the 8:00 AM start; shift the rest of that day earlier so total hours stay consistent.
  • Approximate weekly hours: ~21 hours/week.
Front of house & reception
  • Greet and badge in visitors at the door — including exec, board, investor, and customer guests — and answer the door/buzzer for deliveries (lunch delivery, couriers, etc.).
  • Give candidates and visitors a warm office tour and point them where they need to go.
  • Be the welcoming, in-person point of contact for the SF office on your days in.
Mail, packages & shipping
  • Check mail daily and scan/forward items to the right people.
  • Receive FedEx/UPS/Amazon packages and route them; handle outbound shipping as needed.
  • Coordinate any checks that arrive at the office to the right Finance contact for processing.
Kitchen & supplies
  • Keep the kitchen tidy and stocked (paper goods, snacks); confirm and fill gaps not covered by the cleaning service.
  • Upkeep of the coffee machine, dishwasher, and fridge.
  • Manage the Forkable lunch program - add/remove employees, handle visiting employees and guests.
  • Order office and kitchen supplies (paper, pens, toner, etc.) and manage the office snacks.
Office events & all-hands support
  • Own monthly all-hands breakfast: be in early, get it upstairs, and set it up in the kitchen before the meeting.
  • Support recurring happy hours and themed celebrations (logistics and setup).
  • Provide on-the-ground support for larger annual events (summer party, holiday party) led by the events owner.
  • Bring creative ideas for connecting people - small moments of fun and joy that make the office somewhere people genuinely want to be! Think boba runs, happy hours, ice cream socials, the list goes on!
Vendor & invoice coordination
  • Day-to-day coordination with office vendors - Forkable, canteen/snacks, and Ambius (cleaning, plants, water).
  • Track vendor invoices and route approvals; support monthly SF office budget tracking with Finance.
Onboarding, offboarding & workspace
  • Coordinate SF new-hire first-day welcome and desk/equipment setup with IT.
  • Support equipment return and personal-items handling for departures.
Team & life-event touches
  • Arrange flowers and recognition for life events (births, condolences, etc.) using the office card.
  • Help coordinate restaurant reservations and dinners for visiting teams and execs as needed.

About you

What we're looking for
  • 2+ years in office management, office coordination, facilities, hospitality, or front-desk/administrative roles.
  • Warm, professional presence - comfortable being the first point of contact for execs, board members, and guests.
  • Highly organized and reliable, with strong follow-through on recurring tasks and the judgment to prioritize real-time asks.
  • Comfortable managing vendors, tracking invoices/budgets, and keeping a space stocked and running.
  • Basic AV/tech comfort (setting up and troubleshooting before big meetings/all-hands).
  • Able to work on-site in downtown SF on Mondays, Tuesdays, and Thursdays, and to start early (~7:00–7:30 AM) on the once-monthly all-hands day.
  • Proficient with everyday tools (Google Workspace, Slack); comfortable learning vendor platforms like Forkable.
Bonus:
  • Basic AV/tech comfort — setting up and troubleshooting before big meetings and all-hands.
  • Experience supporting company events, happy hours, or all-hands in a startup or high-growth environment.
  • Familiarity with office vendor platforms (Forkable, Ambius, or similar).
The expected pay range for this position in the San Francisco area is $40–$48 per hour. This is a part-time, non-exempt (hourly) role.
Productboard's pay ranges are determined by role, level, and location. Within the range, the successful candidate's starting pay will be determined based on factors including job-related skills, experience, qualifications, relevant education or training, and market conditions. These ranges may be modified in the future.

Relocation

If you're authorized to work in the EU and want to move to Prague or Brno, we offer a one-time relocation bonus of $6,000–$13,000 USD, depending on whether you're moving alone or with a partner or family.
