At Vanta, our mission is to secure the internet and protect consumer data. We believe that security should be monitored and verified continuously, and we empower companies to practice better security and prove it with ease. Vanta has a kind and talented team, and while some have prior security experience, many have been successful at Vanta without it.

As a Senior Recruiting Operations Analyst you’ll partner directly with the Recruiting leadership and the broader recruiting team to design and implement data-driven reporting, optimize recruiting tools, and drive process improvements to enhance efficiency and effectiveness within our Recruiting team.

The RecOps team is dedicated to enabling scalable and efficient recruiting processes that drive quality hiring decisions. We focus on leveraging data, tools, and process optimizations to create a streamlined and proactive recruiting function that supports Vanta's growth. We deliver accurate insights, maintain data integrity, and continuously improve recruiting operations to meet the evolving needs of our organization.

What you’ll do as a Senior Recruiting Operations Analyst at Vanta:

  • Reporting:

    • Partner with Talent Operations Lead to design and deliver comprehensive recruiting reports using Ashby (ATS) dashboards, Google Sheets, and Sigma, ensuring cross-functional adoption and effective utilization of these tools

    • Create and manage ad hoc reports to evaluate interview effectiveness, analyze offer declines, and assess the overall health of recruiting processes, driving data-informed decision-making

    • Manage quality of hire data by integrating multiple data sets, cleaning data, and conducting sophisticated analysis to identify actionable insights

  • Headcount Administration: Oversee headcount administration by maintaining accurate headcount information in our tech stack

  • Data Integrity: Ensure data integrity within the ATS by managing configurations, reflecting headcount and hiring changes accurately

  • Process improvement: Drive process improvements by developing and refining workflows to enhance efficiency and operational effectiveness across the Recruiting team.

  • Tech Stack Administration:

    • Administer and optimize the recruiting tech stack (e.g. ATS, headcount management tool TeamOhana, CoderPad, LinkedIn, etc.), identifying opportunities for improved functionality and ease of use

    • Manage tooling configurations such as permission settings, templates, and approval workflows to ensure efficient tool operation and compliance

  • Recruiting Program support: Provide tactical support for Talent Acquisition programs, including interviewer and hiring manager training, survey processes, and interview workflows

  • Team Support: Serve as a point of contact for recruiting team members, addressing inquiries in the ticketing system and Slack channels with accuracy and timeliness

  • Support ad hoc analytics needs for the broader People Operations team

How to be successful in this role:

  • 5+ years of experience as an analyst with a preference of at least 3+ years of experience in a people, talent, or related function

  • Proven experience building dashboards and reports through BI and ATS platforms (e.g., Tableau, Looker, Sigma, and Google Sheets) to drive data-informed decision-making

  • Advanced Excel skills and knowledge of data architecture and development processes is preferred

  • Strong analytical and problem-solving skills with the ability to make fact-based decisions, even with imperfect data, and manage multiple projects simultaneously under tight deadlines

  • Exceptional communication skills, both verbal and written, capable of conveying insights and recommendations to executive leadership and team members at all levels

  • Proactive, detail-oriented, and highly organized with the ability to balance competing priorities and deliver results in a fast-paced, dynamic environment

  • Experience in driving operational efficiency and quality improvement initiatives, with a systems-thinking approach to continuously improve recruiting tools and processes

  • Adaptable and comfortable operating in ambiguity, able to switch contexts seamlessly between strategic work and detailed execution without losing momentum

  • Strong sense of ownership and urgency, taking initiative to ensure tasks and projects are completed efficiently and effectively

What you can expect as a Vantan:

About Vanta

We started in 2018, in the wake of several high-profile data breaches. Online security was only becoming more important, but we knew firsthand how hard it could be for fast-growing companies to invest the time and manpower it takes to build a solid security foundation. Vanta was inspired by a vision to restore trust in internet businesses by enabling companies to improve and prove their security. From our early days automating security monitoring for compliance standards like SOC 2, HIPAA and ISO 27001 to creating the world's leading Trust Management Platform, our vision remains unchanged.

Now more than ever, making security continuous—not just a point-in-time check— is essential. Thousands of companies rely on Vanta to build, maintain and demonstrate their trust— all in a way that's real-time and transparent.
