As Vanta’s NYC Workplace Manager, you will own the day-to-day operations and facilities management of our growing NYC office while also driving office programming and culture. We’re scaling quickly and expect to grow into a 30,000-40,000 square foot space in the next 2-3 years. We’re looking for an experienced Workplace Manager who can drive operational excellence at our current size and scale our team and operations in the coming years.

You will play a critical role on our Workplace team by directly managing our NYC office while also supporting our global, company-wide Workplace initiatives and projects. The ideal candidate for this role will be passionate about making our NYC office a welcoming, thriving space, and continually seeking ways to improve our offices and programming.

This is an on-site role at our NYC office, currently in SoHo.

What you’ll do as a Workplace Manager at Vanta:

  • Own the day-to-day operations of our NYC office, including facilities maintenance and repair, events, processes, policies, and communications. This includes:

    • Serving as the in-person, main point of contact for all NYC office needs and questions.

    • Monitoring, ordering, and stocking office supplies, snacks, and beverages in alignment with usage and our set budget.

    • Actively monitor the office for facilities concerns and facilitate timely repairs with building management.

  • Actively monitor our vendors’ work to ensure they’re fulfilling their SLAs, troubleshooting and resolving any vendor issues.

  • Help employees troubleshoot issues with office equipment (i.e. faulty monitors, help printing or using our AV equipment). Actively monitor our IT & AV equipment to ensure it is in good working order and partner with IT to resolve any issues.

  • Run our food and beverage programs and propose iterations as we scale

  • Oversee office access and iterate our “front of house” protocols as needed

  • Continuously assess and iterate on our internal policies and processes to ensure we’re maximizing team efficiency while also providing a top-notch Workplace experience for our team

  • Own the planning and execution of our NYC Workplace programming, including:

    • Our monthly NYC office happy hours

    • Our two large summer and Holiday Celebrations

    • Additional special events and in-office pop-ups

    • Work with local Vanta’ns to curate additional Workplace-sponsored, but Vanta’n-driven programming for our team

    • Help facilitate and support Internal Events & Marketing special events in our NYC office as needed

  • Own and drive larger projects like future office buildouts and moves

  • Support the Senior Global Workplace and Real Estate Manager with real estate searches and transactions

  • Work with our Senior Global Workplace and Real Estate Manager and NYC Site Leads to build programming and processes for our NYC office that drive functionality, culture, and office attendance.

  • In addition to directly managing the NYC office, this person will also support our global, company-wide Workplace programs by contributing to team OKRs/KPIs and driving assigned special projects (i.e. sourcing and vetting new Workplace vendors, helping launch new Workplace programs).

How to be successful in this role:

  • 4+ years of experience with office or facilities management, including developing and executing on employee programming and events.

  • Operate with a high sense of ownership and attention to detail.

  • Have excellent organizational, administrative, and problem solving skills.

  • Have excellent professional verbal and written communication skills and be able to communicate with team members across all levels effectively.

  • Confident with technology and able to pick up new systems quickly. Have working knowledge of G-Suite (for calendar, email, and docs), Slack, and Zoom are a must. Previous experience working in Asana, Jira, or other ticketing software systems preferred.

  • Be able to leverage the tools at hand to drive your workflow.

  • Have a positive, can-do attitude and enjoy working collaboratively with your team and cross-functional partners

  • Prior facilities management experience with 20,000+ square foot floorplates preferred

  • Experience managing Workplace teams (i.e. Workplace Coordinators, porters, janitorial staff) preferred
